During trade fair weeks Bologna fills up, and a corporate event only works if it fits into the logistics of the fair instead of fighting them: lock the date as soon as the official dates are published, pick a venue within walking distance or a short transfer, use the evening slot after the halls close, keep groups small and keep the format inside two hours. Why trade fair weeks change the rules
An international fair does not just fill the exhibition centre: it fills the city. Exhibitors, buyers, stand builders, agencies and journalists all arrive on the same dates. In practice, three things you normally take for granted become scarce at the same time.
- Hotel rooms. Book late and you end up outside the city, and that distance then shapes the rest of your programme.
- Venues. Meeting rooms, restaurants with a private room and workshops with real capacity go first, often to requests placed months earlier.
- The time of the people you want to invite. Exhibitors work from the morning until the halls close, so anything scheduled on top of those hours loses before it starts.
The official calendar of fairs is published on BolognaFiere. It is the first page to check before fixing anything in the city, even if your event has nothing to do with the fair taking place: the constraints apply either way. - SAIE, construction industry fair: 7-10 October 2026.
- Cosmoprof Worldwide Bologna, beauty: 18-21 March 2027.
- Bologna Children's Book Fair, children's publishing: 5-8 April 2027.
These are four very different audiences, and that matters more than the dates: people coming for ceramics already have a trained eye for material, people coming for children's publishing move in mixed international groups, people coming for beauty think in terms of packaging and finishes. The calendar shifts and other fairs can run alongside on the same days, so always check the individual fair's page before locking a date.
When to book, in order
- As soon as the fair's official dates are out, usually about a year ahead, book the hotel. It is the first thing to disappear and it also determines where everything else makes sense.
- Six to four months out: decide the objective (clients or team), the number of people and the evening. With those three data points a supplier can actually search for something; before that, no.
- Three months out: confirm venue and Maker, with an alternative date already written down in case the group changes.
- One month out: final headcount, language of the activity, any customisation of materials, allergies and intolerances if food is involved.
- Final week: send guests a reminder with the address, the real start time and how to get there from the exhibition centre.
Which workshop to choose, based on who you are bringing
There is no workshop that is right in the abstract. There is the one that fits the people you invited and what those people have already been doing for the previous eight hours.
- International buyers and clients: choose a craft you understand by watching. Wheel-thrown ceramics, hand printing, bookbinding, mosaic. Instructions stay minimal and the result is a small object that fits in a suitcase.
- Sales network and agents: the point is to get them talking to each other. Formats in pairs or at small tables work best, where something is built together rather than each person making their own piece.
- Local clients who are not attending the fair: you can afford a different time slot, including the afternoon, and a longer format.
- Your own team staffing the stand: after three days on their feet, a seated activity with their hands busy and no performance required beats anything that demands energy.
- Guests from different backgrounds and habits: alcohol and food complicate things. An artisan workshop does not have that problem, which is one reason it holds up better than a dinner in international settings.

- Time slot: the realistic window during a fair week is the evening, after the halls close. Opening hours vary from fair to fair and are published on the event's website: start from those, because until closing time exhibitors do not leave their stand.
- Duration: two hours is the maximum that holds at the end of a fair day. A full 90 minutes beats three diluted hours.
- Capacity: almost no artisan workshop works well beyond a dozen people per Maker, because quality depends on how many people the Maker can actually follow.
- Transfers: if the venue is not walkable, the transfer has to be organised and communicated in writing, otherwise half the group does not arrive, or arrives in pieces.
With larger groups the model that works is two or three short activities running in parallel with rotation, not one long session with an ever-wider table. That is exactly what we organise in the groups format.
What stays in their hands afterwards
The difference between an event and a memory is the object. A piece made by hand by the guest has an advantage no purchased gadget has: the person who made it knows how long it took, and does not throw it away.

We do not publish a price list, because a corporate event during a fair week is not an off-the-shelf product. Compared with the same workshop booked in any other period, four items are the ones that really weigh on these days.
- The evening slot: asking a Maker to open the workshop after the halls close, in a week when they are already working flat out, has a cost, and it is the variable that moves the figure most.
- The transfer, when the venue is not within walking distance of the fair or of the group's hotel.
- Packing and shipping the pieces: guests leaving the next day cannot wait for firing and finishing, so the object has to be shipped, often abroad.
- Customisation: logo, colours, packaging, an extra piece for people who could not attend. These have to be decided weeks ahead, because they depend on materials that need ordering.
What you receive is a single, final figure: the price shown is the price you pay, with no commission added on top. On public workshops bookable online the only platform item is the 0.50 euro booking Guarantee per seat, already included in the round figure the customer sees.
