Time lost managing bookings: the math

How much is an artisan's hour worth? Not a rhetorical question. If your workshop costs €60 per participant and lasts 3 hours, the teaching hour after materials is worth about €15-20. The hour at the bench creating objects to sell or exhibit is worth even more. The hour coordinating bookings is worth zero — or rather, an invisible cost you pay.

Realistic calculation for a typical month

Take an average Italian artisan running workshops in their laboratory: 4-5 sessions per month, average 4 participants per session, requests mostly via WhatsApp. Here's the realistic time spent only on management (workshop itself excluded):

• Reply to first WhatsApp request: 3 min × 30 requests/month = 90 min
• Check availability in personal calendar: 1 min × 30 = 30 min
• Send PayPal/IBAN link for deposit: 2 min × 20 confirmations = 40 min
• Chase unpaid deposits: 2 min × 10 chases = 20 min
• Final WhatsApp confirmation: 1 min × 20 = 20 min
• 24h reminder: 2 min × 20 sessions = 40 min
• Write post-workshop receipt: 4 min × 20 = 80 min
• Handle refund requests or cancellations: 5 min × 5 = 25 min
• Reviews and follow-up: 3 min × 10 = 30 min

Total: about 375 minutes per month, i.e. 6 hours 15 minutes. A full half working day, every month, just to coordinate. And the math is optimistic: it doesn't include complex cases (date-change customers, corporate groups asking for custom quotes, foreign tourists writing in broken English).

The economic value of that time

If we assume an hour at the bench generates €25-35 of value (workshop sold, object created, social content produced), 6 hours 15 minutes per month means €150-220 of lost value. Over a year, €1,800-2,640. Money you don't earn because you're coordinating bookings.
